Why brands work with an Austin crew instead of flying one in.

SXSW runs an Event Recording & Licensing (ERL) program that credentials brand-side crews to film inside their own activations, panel sponsorships, and licensed spaces. It has its own application process, crew credentials picked up in-person at the Registration Annex, and rules for what can and cannot be captured on the ground. We know that process. The ERL application is submitted by your brand (SXSW requires the activation host to be the applicant), but we prep it with you: crew list, roles, activation details, dates, and the shot plan that supports the request. Day-of, we coordinate credential pickup for every operator and brief your team on what is captureable inside your activation versus what needs additional coordination with SXSW's comms team. Brands who fly in without knowing the process show up at load-in and find out their B-roll operator cannot get past the badge check. We plan for it in November, not the morning of.

The SXSW booking window closes earlier than most brands realize.

SXSW 2027 runs March 12 to 22 in downtown Austin. Local video crews and audio talent book out by mid-January. If you're planning a March activation, the honest deadline for locking a full crew (multi-cam operator, sound, producer, editor for same-day cuts) is early January. We open the SXSW 2027 calendar in November 2026. Half of it fills within four weeks of opening.

When should we book a videographer for SXSW?

For SXSW 2027 (March 12 to 22, 2027), lock your videographer by early January 2027 at the latest. Austin crews book out earlier than most brand teams expect because the same 40 to 50 experienced videographers, sound operators, and producers get pulled by every activation in town. If your March activation depends on same-day social cutdowns or multi-cam coverage, treat January 15 as the hard deadline, not a stretch target.

How do you handle SXSW credentialing and the ERL process?

The ERL credential is what lets a brand-side crew film inside your own activation, panel sponsorship, or licensed space during SXSW week. SXSW requires the activation host (your brand) to submit the ERL application directly, but we prep it with you: crew list, roles, activation details, dates, and the shot plan the application needs. Day-of, we coordinate credential pickup for every operator (each pulls their own credential at the Registration Annex with photo ID) and brief your team on what is captureable inside your activation versus what needs additional coordination with SXSW's comms team. Can you deliver same-day social cutdowns during SXSW week?

Yes, with a dedicated on-site editor. Standard same-day workflow: shoot from 10am to 4pm, on-site editor cuts a vertical 15- to 30-second social edit by 6pm, a horizontal LinkedIn edit by 8pm, both delivered to your social team for posting before the day ends. For multi-day activations we typically pair one editor per shoot day, with a lead editor handling the recap film after wrap. Budget the editor as a separate line item because same-day turnaround requires on-site color, sound, and captioning work that a next-week edit does not.

Do you provide videographers for SXSW EDU or SXSW Film & TV?

Yes for brand-side coverage at both. SXSW EDU (typically the week before the main conference) is where edtech companies, universities, and mission-driven education brands run activations and panel sponsorships. SXSW Film & TV overlaps with the main festival and attracts studio and streaming-platform activations. Same restrictions apply: we film your brand's activation, party, panel sponsorship, or press event, not the official screenings or panel programming that requires SXSW press credentials.
